Central Virginia Chinese School Policy

 

A. Teachers

1. Are responsible for creating a nurturing, fair and respectful learning environment.

2. Are committed to practice teaching in the fun, interactive, and inspiring way.

3. Maintain open dialogs with parents about the progresses as well as the opportunities of their children.

4. Are responsible for the safety and well-being of each student during teaching time.

5. Maintain a quiet environment in the school and discipline children to obey rules at the school site.

6. Arrive at classroom 10 mins before class starts; start and finish class on time.

7. After classes, coordinate with parents and Board members on duty to ensure the safe return of each student to their parents/guardians and make sure that the classroom is kept in good conditions and put things back where they were.

 

B. Parents

1. Take full responsibility for your child's safety, behaviors and liabilities.

2. Help educate your children to behave properly at school, to be respectful, polite, considerate to others, and to be careful in using all public facilities in school.

3. Understand and follow the school's drop off and pick-up policy.

4. Each family is required to sign up "Parents on Duty" at least 2 times during a school year. This is a prerequisite for registering courses without any exceptions. After sign-up, it will be the parent’s responsibility to secure a replacement if he/she can’t come on the sign-up day. Parents on duty must arrive at school 10 mins and sign in with board members on duty before classes start on the on-duty day. Parents on duty are responsible for supervising the students prior to, during recess and after classes. 

 

C. Students

1. Act in a safe, responsible, and respectful way.

2. Follow instructions from teachers, on-duty parents, church staff and school management personals.

3. Treat all school properties with respect. No writing on tables and walls. No eating and drinking except water while in school.

4. Don't run or make noise in the class room or during recess. No cell phone or any electronics are allowed to be used in classroom.

5. Follow other rules of the Saint Andrews United Methodist Church.

6. Students who behave improperly in the school and do not respond to warnings will be disciplined including timeouts. Written notice will be sent to their parents for serious violations. Repeated receipt of warning notices may lead to suspension or expulsion. For very serious cases it may result in immediate expulsion.

7. CVCS provides volunteering opportunities to students at 8th grade or above. Applications for student volunteering must be submitted to and approved by CVCS Board (not class teachers) and volunteering forms must be signed by CVCS Board (not class teachers).

 

D. Registration, Cancellation and Refund

1. Students who register before the midterm of any course period (year or semester) must pay full tuition, and 50% if after the midterm. 

2. The school only accepts full-year enrollment. Single-semester enrollment is not available. If a student withdraws mid-year for personal reasons, a prorated refund will be issued based on the number of remaining classes. If the student attends only one semester and withdraws, the refund will not exceed 50% of the full-year tuition. Please refer to the tuition refund policy at the end of this section for the specific refund amount.

3. If a class is cancelled due to low enrollment (less than 5), a full refund will be issued.

4. No refund will be issued for students missing classes due to vacation, holidays, illness or other personal reasons.

5. Classes cancelled due to inclement weather will not result in a refund.

6. In the unlikely event a class is cancelled by CVCS due to instructor illness, CVCS will prorate a refund for that class.

7. Trial Class Policy - Students may only attend a trial class during the first week of the school year. If you decide to switch or withdraw after the trial, please inform the school promptly.

8.  Class Change Policy - From the third week onward, any request to change classes will require a $100 administrative fee.

9. Returned Check Policy - A $40 processing fee will be charged for any returned checks due to bank issues.

E. Drop off & Pick up

1. Students are required to be escorted to their first classroom and signed in with the teacher by a parent/guardian. The parent/guardian must remain with the student until the class teacher has arrived and the sign-in process is complete. Drop-offs at the exterior door/parking lot are expressly prohibited.

2. The latest pick-up time is 15 mins after class. After that, a $5 late pickup fee will be charged, plus $1 per minute thereafter. Exceptions will be considered via written petition and only on a case-by-case basis.

F. Student Conduct Policy
If a student receives three official warnings from their teacher for disciplinary issues, the school reserves the right to dismiss the student without a tuition refund.

G. Right to Change Policy

1. CVCS reserves the right, in its sole discretion, to interpret, change, modify, add, or delete portions of this school policy at any time without further notice. Any questions, should refer to CVCS via email cvchineseschool@gmail.com.

PERMISSION TO OBTAIN MEDICAL TREATMENT

I, the undersigned, as Parent/Guardian of Student(s) identified above, give the staff of CVCS permission and consent to obtain whatever medical attention the staff determines is needed, including but not limited to emergency care and paramedics, for the Student(s) while under the staff’s supervision. I assume full financial responsibility for all such medical expenses incurred. 

PHOTOGRAPH/VIDEO RELEASE

I, the undersigned, as Parent/Guardian of the Student(s) identified above, give permission and consent to CVCS to use and copyright photographs/videos of the Student(s) without restriction of rights for any purpose, including but not limited to promotion, advertising, and public relations. I hereby release and discharge CVCS and any of its employees, agents and representatives from any and all claims, liabilities and damages arising out of or in connection with the use of such photographs/videos. I understand I will not receive any financial compensations for such use.

HOLD HARMLESS / LIABILITY RELEASE

I, the undersigned, as Parent/Guardian of the Student(s) identified above, understand that there are certain dangers, hazards and other risks (foreseen and unforeseen) inherent in attending and participating in the CVCS programs, including, without limitation, those related to use of equipment and facilities, personal safety (including minor, serious or mortal personal injury) and property damage (all collectively, “risks”). In recognition of the risks, I, for myself and on behalf of the Student(s) identified above, confirm that the Student is physically and mentally capable of attendance and participation in all activities and use of all equipment and facilities. The Student is willingly and voluntarily attending and participating, and the Student and I assume all risks. 

In consideration of the attendance and participation in the CVCS activities at the Saint Andrews United Methodist Church (SAUMC), Richmond, VA 23229, a nonprofit organization, or at any other locations by the Student(s), I, for myself, the Student(s) identified above and any other parent or guardian of the Student(s), agree to release, waive and hold harmless CVCS or SAUMC, and their current and former trustees, officers, directors, employees, attorneys, representatives and agents from and against any and all claims, injuries, liabilities and damages arising out of or in connection with such attendance and participation in the CVCS programs.

EMERGENCY AUTHORIZATION

In the event that I cannot be reached in an emergency, I hereby give permission to the board members, or the personnel designated by the CVCS to secure proper emergency treatment for my child(ren) as named above.
